See What Syncs Between Xero and Your Stores
Xero is your accounting system, not another storefront. QuickSync connects it to the places where you sell, so sales can reach your books automatically while tracked inventory stays aligned.
SupportedSupported, with a limitNot supported
| The job | Does it? | What that means |
|---|---|---|
| Stock we send out | Yes, as a book figure | QuickSync writes the stock quantity to the Xero item so your books carry the same figure as your connected stores. |
| Stock we read in | Partly | Tracked inventory can flow back from Xero. You need to enable inventory tracking and provide the required accounts in QuickSync. |
| Prices | Yes | The selling price is written to the Xero item and used on the invoice. |
| Orders coming in | No, by design | Xero is your accounting system, so it does not send storefront orders back to QuickSync. |
| Orders going out | Yes | A sale from a connected store becomes a draft invoice in Xero against the relevant customer and item. |
| Tracking going back | No | Xero does not provide a field for QuickSync to write tracking numbers into. Shipping details stay in QuickSync and the originating store. |
| Update speed | Under a second | New sales are written to Xero immediately. |
| Detection speed | We check Xero every two minutes | QuickSync checks Xero for changes because Xero does not send inventory webhooks for this connection. |
What Permissions QuickSync Needs From Xero
Getting Xero connected does not require technical work. You do not need a developer or any code to copy and paste.
What you click
Sign in to Xero and select the organisation you want to connect. QuickSync writes to that organisation and does not connect to another one through the same connection.
What we ask for
QuickSync asks for the product and stock information required for the integration. Payment card details are not part of the connection.
How you disconnect
You can disconnect Xero from QuickSync settings or from Xero’s connected-apps area. Disconnecting does not remove your existing Xero products, stock, or orders.
See Your Xero Products and Stock in One Dashboard
Once Xero is connected, you can manage the connection from QuickSync without learning another complicated dashboard.
Your products have one central view, with the current stock figure from each connected shop shown alongside it. If something does not match, you can see the difference and when the value was last corrected.
- See the stock count for each product in one place
- Review products QuickSync could not match, instead of letting it guess
- Set safety stock for individual shops
- Keep track of when inventory was last updated

Two shops, because one on its own has nothing to stay in step with.
A Few Things to Know About Xero Integration
Xero works differently from a sales channel. Understanding these differences before switching on the integration helps you know exactly what QuickSync will and will not do.
Xero Is Your Books, Not Your Storefront
Xero does not sell products to shoppers. Its quantity is a bookkeeping figure, while your connected stores handle the actual sales. So we count it as an integration but not as a shop your customers buy from.
Orders Go Into Xero as Draft Invoices
A sale from another connected platform becomes a draft invoice in Xero. Xero does not send those orders back to your stores. The invoices remain in draft so your bookkeeper can review and approve them. Nothing is automatically posted as authorised revenue.
Stock needs tracked items
Stock syncing only works with items posted as tracked inventory in Xero. You also need to provide the inventory asset, cost of goods sold, and inventory adjustment accounts in QuickSync. When QuickSync needs to change a tracked quantity, Xero records the adjustment as a bill or purchase credit note against a QuickSync Inventory Adjustment account.
We check Xero on a timer
Xero does not notify QuickSync when an item changes. Instead, QuickSync checks for changes every two minutes. Sales from connected stores are handled immediately.
There Are No Product Variants in Xero
Each variant becomes its own Xero Item with its own Code. Xero’s Code is limited to 30 characters, so longer SKUs are truncated and may create matching conflicts if the first 30 characters are the same.
Nothing is written until you say so
Connecting Xero does not immediately start writing invoices or quantities. QuickSync lets you review the connection first. Syncing only begins after you enable the relevant direction.
How to Get Started with Xero Integration

Questions Xero sellers ask
How quickly does Xero get my sales?
Sales from connected stores are sent to Xero as draft invoices as soon as QuickSync receives them. Stock is written at the same time when inventory tracking is enabled. Xero-side stock changes are checked every two minutes.
What does QuickSync get access to on Xero?
QuickSync connects to the Xero organisation you choose and requests the product and stock information required for the integration. Payment card details are not part of the connection.
Can Xero send orders back to my shops?
No, and that is deliberate. Xero is a one-way accounting destination: invoices and quantities go in, and nothing flows back out to your shops. If you want a shop that fills orders taken elsewhere, you pick one of the sales channels that can take an order in.
Will connecting Xero change anything a customer sees?
Xero is your accounting system rather than a storefront. Connecting it does not make Xero another sales channel for your customers.
Does the tracking number go back to Xero?
No. Xero does not provide a field for QuickSync to write tracking numbers into. Shipping details remain in QuickSync and the store where the order originated.
Can Xero send orders back to my stores?
No. Orders flow into Xero as draft invoices. Xero does not send those orders back to your connected sales channels.
How do I integrate Xero with the API?
QuickSync handles the Xero API connection for you, so you don’t need to work with API code or build the integration yourself. Sign in to Xero, select your organisation, and authorize QuickSync to access the data required for the integration.
