Liquor store inventory management for bottles, sizes and cases

One label can be four lines: the 75cl, the magnum, the case of six and last year’s vintage. QuickSync counts each of them separately and keeps that count the same at the till and online.

The 75cl bottle has its own figure. The magnum and the case of six carry theirs, because they are separate items rather than a conversion we calculate.

The problem

Hundreds of lines that look alike

A bottle shop stocks variations of the same thing on purpose, which makes the catalogue long and the counting error-prone in a way a clothes shop never sees.

Four lines wearing one label

The 75cl, the magnum, the gift tin and the case are one product to a customer and four counts to you. Any of them can go to zero while the others look healthy.

Vintages are not interchangeable

The 2019 and the 2021 sit next to each other and sell at different prices. A buyer who ordered one and received the other is a refund plus a review.

Weekend trade outruns the website

Saturday afternoon moves stock faster than anyone updates a listing, so the online shop spends the weekend selling from Friday’s figures.

What connects

The channels this vertical usually runs on

Sending an update to a channel is quick on all of them. Finding out that a channel changed something itself is pushed by most and checked on a timer by three. Orders divide the same way: ten hand theirs to us, six can be told to fill one, so the table asks those separately too.

Limits

Two things to set up right

Both come from how we match items, and both are much easier to handle on day one than in month three.

Every size needs its own SKU

The 75cl and the magnum have to carry different codes, because a shared code is the one case we refuse to sync. We flag the duplicates rather than merging two counts into a figure that is wrong for both.

Cases do not become bottles

A case of six and a single bottle are two lines with two counts, and we will not decrement one when the other sells. If you break cases down on the shop floor, keep the two as separate items and adjust them as you would anyway.

No tracking number to the till

If you deliver locally, note that Square and Clover have nowhere for us to write a tracking number and Lightspeed keeps the shipped mark without the number. That detail stays in QuickSync and on the shop that took the order.

Getting started

Four steps, and none of them a migration

Connect your till

You sign in to it the normal way and approve QuickSync on its own screen. Nothing to copy or paste, and you can withdraw it from either side whenever you like.

~2 minutes

Connect where you sell online

The same again. One shop on its own has nothing to stay in step with, so you need at least two before anything happens.

~2 minutes

Let it match your items

We pair the till catalogue with the online one by SKU. Bottle shops usually surface a few sizes sharing a code at this point, which is exactly the list you want before anything syncs.

~5 minutes

Watch, then switch it on

Sync stays off while you read the changes we would make. Turn it on per channel when the sizes look right.

FAQ

Questions shop owners ask before connecting anything

How does QuickSync handle the same wine in several sizes?

Each size is its own item with its own count, matched by its own SKU. Selling a magnum moves the magnum figure and leaves the 75cl alone, which is the behaviour you want when the two sell at different prices.

Will it take a bottle off when I break open a case?

No. A case and a single are two SKUs with two counts and we do not convert between them. Breaking a case is a stock adjustment you make in the till, and we copy the result to your other shops.

What if two bottles share a SKU?

We flag both and sync neither. A shared code inside one shop is the single case where a guess would put the wrong figure against the wrong bottle, so we leave it to you and name the items involved.

Which till works best for a bottle shop?

Clover, Square and Lightspeed X-Series all connect, and all three tell us the moment something scans rather than being checked on a timer. Lightspeed suits the longer catalogues; Clover and Square are more common in smaller shops.

Can I sell online without overselling the shop floor?

Yes, and a buffer is the usual way. Hold two units back on the website and we send it the real figure minus two, so walk-in customers keep a reserve the internet cannot reach.

Does this cover licensing or age checks?

No. QuickSync counts stock across the places you sell it and has nothing to do with compliance, which stays with your till and your storefront where it belongs.

Where to next

The combinations this usually involves

Each pair has its own page, because no two channels allow exactly the same things.

Or read about one channel on its own

What each one can and cannot do, and how quickly it does it.

Count every bottle once

Connect the till and one online shop, then sell a bottle at the counter and watch the listing move. Sizes and cases keep their own figures from the first minute.
