Inventory limit

QuickBooks is your books, not a shop

QuickBooks Online must support inventory tracking for quantity sync on linked Inventory items. Eligible sales sync as Sales Receipts or Invoices on Pro or higher; sales orders are not imported back into your shops.

Turn on inventory syncing for linked Inventory items. Enable eligible sales syncing on Pro or higher to send paid sales as Sales Receipts and unpaid or partially paid sales as Invoices. QuickSync then syncs automatically; you do not retype each sale.

We write the sale instead. Each Clover order becomes its own sales document in the company file you picked, every product on the receipt as a line with its quantity and unit price, matched to a QuickBooks item by SKU. Anything the sale carried beyond the products gets a line of its own named for what it is: shipping, tax, tip, service charge. And we set the quantity on hand on each item. That’s what you want when QuickBooks is where you look up what’s in stock, or when the same stock is also sold on a Shopify store or an Etsy shop and the QuickBooks item is the one place they all meet.

Both sides cap a SKU at 100 characters, so nothing is cut in this pair; the code just has to be the same on both.

How we hear about a sale

Clover pushes every event as it happens. There’s no interval to sit behind.

Clover announces orders through webhooks. QuickSync checks payment state and eligibility before export to QuickBooks Online. Clover stock sold in a sale is read 30 minutes after the order; direct inventory edits arrive separately.

Nothing comes back out of QuickBooks. No sales document becomes a Clover sale, there’s nothing to list there, and the quantity we set is a figure for your reporting, not a count a customer can buy from. Cancellation handling depends on the document and verified payment state. Paid, partially paid or refunded documents are retained for reconciliation; cancellation alone doesn’t authorize a refund.
