Etsy QuickBooks integration that keeps your books in step with your stock

Etsy has no mechanism for announcing a sale, so nothing arrives from it unprompted. We read its quantities every two minutes and collect its orders every five, which means an Etsy sale can be up to five minutes old by the time we see it. The sales document written from that order therefore sits slightly behind the sale itself. Nobody can shorten that from the outside; it is simply how Etsy reports.

For bookkeeping the gap is small, but it is worth naming. During a busy launch the company file will always be a few minutes short of what Etsy shows, and neither number is wrong. Across a day or a month the difference disappears. The one place to take care is a period you close to the minute, where a sale made in the last moments of a month can reach us on the other side of the boundary.

What we write, once an order does arrive, is the ordinary thing: a sales document carrying a line per product matched on SKU, lines for whatever the sale added on top, and the quantity on hand for that item. That breakdown is the same for every shop connected to a company file, so it is not what makes this pair distinct. Two details do matter. Outside Canada the lines cross non-taxable, so nothing is taxed twice, while Canadian files use the code you configured. And QuickBooks has no place for a tracking number, so that stays in QuickSync.

Etsy holds the shorter SKU in this pair by a distance: 32 characters against 100 in QuickBooks. Send a longer one and Etsy keeps the front of it, after which the two sides stop recognising each other and the quantity lands on nothing. No error is raised and nothing turns red, which is why this tends to surface much later as a count that has stopped moving rather than as something you could have fixed on day one.

A listing on Etsy can carry two option types and no more. A product sold elsewhere as size, colour and material has to lose a dimension or be split in two before Etsy will take it, and which of those you choose is a catalogue decision rather than a setting. Make it before you connect: reshaping variants once stock is moving is the more expensive order to do it in.

The third rule catches shops that recycle codes. Where one SKU appears on two listings in the same Etsy shop, Etsy marks them ‘Multiple same SKU’ and neither one syncs, because a single count cannot be honestly divided between two listings. Give each listing a code of its own and both join in. Leave them sharing and they stay out, which is deliberate rather than a fault.
