When your packing store ships an order with a carrier and a tracking number, we mark the original order shipped in the store the buyer used. The tracking goes with it. This only works when Shopify, WooCommerce or Square packs your orders.
Not every store takes all of it. Of the 11 stores that send us orders, 8 can get the tracking number back. Lightspeed gets the shipped status only. Square and Clover get nothing.
When we send it
We send tracking once your packing store reports a shipment. What counts depends on the store.
- Shopify. A fulfilment with both a carrier and a tracking number. Shipping apps that fulfil orders for you count too, if they fill in both.
- Square. A shipment with both a tracking number and a carrier.
- WooCommerce. Tracking added with the Shipment Tracking extension. We don’t read it from anywhere else.
We also re-check unshipped orders on a schedule, so tracking you add later still goes through.
If Clover, Lightspeed, QuickBooks or Xero packs your orders, nothing goes back. Mark those orders shipped in the selling store by hand.
What each store gets
The selling store is where the buyer ordered. Here’s what we send it when your packing store ships.
| Selling store | Tracking number | Carrier | Marked shipped | Buyer email |
|---|---|---|---|---|
| Etsy | Yes | Matched to Etsy’s list | Yes | Not checked |
| eBay | Yes, when Shopify packs | Must match a carrier on eBay’s list | Yes | Not checked |
| TikTok Shop | Yes | Must be in your TikTok shipping template | Yes | Not checked |
| Amazon | Yes | Must map to Amazon’s list | Yes | Not checked |
| Shopify | Yes, unless you installed from an app store (below) | Yes, as you entered it | Yes | No |
| WooCommerce | Yes, when Shopify packs the whole order in one package | Must be on the Shipment Tracking list | Yes, as Completed | Not checked |
| Wix | Yes, when Square or WooCommerce packs | FedEx, UPS, USPS, DHL, Canada Post or Hermes | Yes | Not checked |
| Squarespace | Yes | Matched to 25 carriers | Yes | No |
| Lightspeed | No | No | Yes | Not checked |
| Square | No | No | No | No |
| Clover | No | No | No | No |
- Shopify. If you installed QuickSync from the Shopify App Store, Wix, WooCommerce or another app store, rather than signing up on our website, we don’t write tracking into Shopify orders. Paying for QuickSync through Clover lifts that limit. We never ask Shopify to email the buyer.
- Amazon. We confirm the whole order as shipped. Orders Amazon ships for you (FBA) never reach your packing store.
- Lightspeed. We mark the sale fulfilled. Lightspeed records fulfilment without a carrier or tracking number.
- Square and Clover. We don’t send them anything.
How we match carriers
Most marketplaces only take carriers from their own lists, so we translate the name your packing store gives us.
- Etsy. We match the name to Etsy’s list, so “USPS First Class” becomes USPS. If nothing matches, we send the name as it is, and Etsy may refuse it.
- eBay. The name must match a carrier on eBay’s list for your site, ignoring capitals. We don’t guess.
- TikTok Shop. The carrier must be in the shipping template on that order. We try the exact name, the tracking link, local spellings and a tracking number lookup first.
- Amazon. UPS, USPS, FedEx, DHL, Royal Mail, OnTrac, GLS and DPD map to Amazon’s codes. Amazon may refuse any other carrier, so check those orders in Seller Central and confirm them there.
- Wix. Only FedEx, UPS, USPS, DHL, Canada Post and Hermes. “DHL Express” won’t match.
- Squarespace. We look for one of 25 carrier names inside yours, so “DHL eCommerce” becomes DHL Express. Royal Mail isn’t one of them.
- WooCommerce. The name must match a provider in the Shipment Tracking extension.
- Shopify. Any name works, as you entered it.
When we can’t match the carrier for eBay, TikTok Shop, Wix, Squarespace or WooCommerce, we don’t send the tracking. Open the order on the Orders page. Its Activity tab says what went wrong. We email you about Etsy and TikTok Shop refusals too.
Partial shipments
Only eBay takes an order one package at a time.
- eBay. Each Shopify package goes with its own items and tracking number.
- WooCommerce. Tracking goes through only when one package holds the whole order. If you split it, we’ll record a failure on the order.
- Everywhere else. The first package marks the whole order shipped. We don’t send later packages. For a Shopify order split across locations, we mark only the first location’s items shipped.
Shipping in parts? Add the later tracking numbers in the selling store.
Etsy ship-by dates
Etsy wants each order marked shipped by its ship-by date. That date comes from your processing profile. We mark an Etsy order shipped when your packing store ships it, so pack Etsy orders before their date. On Ultra and above, the copy in Shopify shows the Etsy processing time as an extra detail.
One exception for US shops. If your Etsy shop is in the US and first connected to QuickSync on or after 21 October 2024, Etsy refuses our tracking. It also leaves the buyer’s address off those orders. Mark them shipped on Etsy yourself. We don’t email you when this happens.
WooCommerce needs Shipment Tracking
WooCommerce tracking moves only through the Shipment Tracking extension. As your packing store, WooCommerce passes us the tracking from it. As a selling store, it gets the tracking there, and we set the order to Completed. Without the extension, no tracking moves either way.
What the buyer sees
The buyer sees the order as shipped, with the tracking we sent. In WooCommerce it shows as Completed. In Lightspeed it shows as fulfilled, with no tracking.
Shipping emails come from the selling store, under its own settings. We tell Squarespace not to send one, and we don’t ask Shopify to.
Common questions
Why isn’t my Etsy order marked as shipped?
Check three things. The shipment in your packing store needs both a carrier and a tracking number. That packing store must be Shopify, WooCommerce or Square. Then check your Etsy shop’s location. If it’s in the US and first connected to QuickSync on or after 21 October 2024, Etsy refuses our tracking, so mark the order shipped on Etsy yourself. For any other refusal, we’ve emailed you the reason.
Why didn’t tracking sync to TikTok Shop?
Check the carrier first. TikTok only accepts carriers from the shipping template on that order. If the name doesn’t match, we email you and nothing reaches TikTok. Other causes: TikTok ships the order itself, the buyer cancelled, or the shipment has no tracking number. In QuickSync, the order’s Activity tab shows a carrier or cancellation problem.
Does QuickSync send tracking to Amazon?
Yes. When your Shopify, WooCommerce or Square packing store ships an Amazon order, we confirm the shipment on Amazon with its tracking. Amazon takes the whole order as one package. If we can’t map your carrier to Amazon’s list, Amazon may refuse it, so confirm the order in Seller Central. Orders Amazon ships for you (FBA) never reach your packing store, so there’s nothing to confirm.
Can Wix get tracking when Shopify packs the order?
No. We only send Wix tracking from a Square or WooCommerce packing store. When Shopify packs your Wix orders, mark them shipped in Wix by hand. We also send Wix just six carriers: FedEx, UPS, USPS, DHL, Canada Post and Hermes. With any other carrier, Wix gets no tracking, and the order’s Activity tab in QuickSync says why.
Will my customer get a shipping email?
It depends on the store they bought from. We send that store the shipment, and it decides what to tell the buyer. Squarespace won’t email for our updates, because we tell it not to. Shopify won’t either, because we don’t ask it to. Etsy, eBay, Amazon, TikTok Shop, Wix and WooCommerce follow their own notification settings.
