Example: follow one WooCommerce sale

For sellers who use WooCommerce and QuickBooks Online. Match items by SKU, choose inventory and sales syncing separately, and check the payment state of each sale before export. Cancellation handling depends on the document and verified payment state. Paid, partially paid or refunded documents are retained for reconciliation; cancellation alone doesn’t authorize a refund. Eligible new fully paid sales export as Sales Receipts; unpaid or partially paid sales export as Invoices. Sales syncing requires Pro or higher. Existing bound documents keep their type.

What to know before you connect

Inventory limit

QuickBooks is your books, not a shop

QuickBooks Online must support inventory tracking for quantity sync on linked Inventory items. Eligible sales sync as Sales Receipts or Invoices on Pro or higher; sales orders are not imported back into your shops.

Automatic after setup

Choose your settings once. QuickSync handles the sync.

Turn on inventory syncing for linked Inventory items. Enable eligible sales syncing on Pro or higher to send paid sales as Sales Receipts and unpaid or partially paid sales as Invoices. QuickSync then syncs automatically; you do not retype each sale.

If reconciling is the whole job

What a sale writes, and when the free connector is enough

Payout apps do the books from the deposit. We write the sale.

We start from the order. Each WooCommerce order becomes its own sales document in the company file you chose, in the order’s currency, customer matched by name or email, and we set the quantity on hand on the matching QuickBooks item. Prices you change in WooCommerce are written onto the item too. WooCommerce allows the longest SKU of anything we connect, 300 characters; QuickBooks takes 100, so the code on the sales document is the shortened one, and a code over 100 stops matching without an error. Keep SKUs under 100 and identical in both.

Intuit’s QuickBooks Connector supports individual WooCommerce sales as invoices or sales receipts, product exports and QuickBooks-to-WooCommerce inventory updates. Its official setup guide describes those workflows. Compare the order filters, stock direction and accounting setup you need before choosing a connector. QuickSync’s payment-aware sales documents and supported stock workflows are described below.

Nothing comes back out of QuickBooks. It’s your books, not a shop: no listing to create there, no order to import from it, no tracking to send it. Cancellation handling depends on the document and verified payment state. Paid, partially paid or refunded documents are retained for reconciliation; cancellation alone doesn’t authorize a refund.

Connecting

An approval screen, not a plugin

WooCommerce asks you to approve API access. That’s the whole setup on the WordPress side.

Enter your shop’s address in QuickSync, log in to your WordPress admin when it sends you there, and approve the access request; WooCommerce hands the keys back to us and nothing on your shop changes until you turn a sync on. Three settings make that approval fail, all in WordPress: permalinks set to Plain, the WooCommerce REST API switched off, or a site that doesn’t load over https. Then sign in to Intuit and pick the company file.

WooCommerce announces new orders through webhooks. QuickSync checks payment state and eligibility before export; queues and QuickBooks API responses affect processing time.

Shipping

Where the tracking number lives

On the WooCommerce order, where the buyer can see it. Not on the sales document.

When you ship, we write the carrier and tracking number onto the WooCommerce order so the buyer can follow it. QuickBooks gets no part of that: there’s no field on a sales document to hold it and no buyer on that side to tell. If you’ve been treating QuickBooks as the record of what left the building, that record is the WooCommerce order.

Questions people ask about this pair

Do my WooCommerce products show up as listings in QuickBooks?

No. QuickBooks Online is an accounting system, not a storefront. QuickSync links items by SKU and can sync quantities for eligible Inventory items. Sales syncing on Pro or higher sends fully paid sales as Sales Receipts and unpaid or partially paid sales as Invoices.

Does WooCommerce integrate with QuickBooks?

Yes, two ways. Intuit’s free QuickBooks Connector for WooCommerce brings sales, refunds and fees into QuickBooks Online for reconciling. QuickSync writes each WooCommerce order as its own sales document after eligibility checks and sets the quantity on hand on the matching item, across every shop you connect.

How do I connect WooCommerce to QuickBooks with QuickSync?

Enter your shop’s address in QuickSync, log in to WordPress when it sends you there and approve the API access request. If that fails, check that permalinks aren’t Plain, the WooCommerce REST API is on, and the site loads over https. Then sign in to Intuit, pick the company file, and match products by SKU under 100 characters.

Is there a free WooCommerce QuickBooks integration?

Yes, Intuit’s QuickBooks Connector for WooCommerce. It reconciles at payout level and doesn’t write a sales document per order or move item quantities. Use it if reconciling is the whole job.

Does QuickBooks sync inventory with WooCommerce?

QuickSync sets the quantity on hand on the QuickBooks item as WooCommerce and your other shops sell. It’s a bookkeeping figure; nothing flows back from QuickBooks into WooCommerce.

How long can a SKU be for WooCommerce and QuickBooks?

One hundred characters. WooCommerce allows 300; anything longer is cut to 100 on the way to QuickBooks and stops matching the item.

Do prices sync from WooCommerce to QuickBooks?

One way, yes. The price you set on WooCommerce is written to the matching item in QuickBooks, so the books read what you actually charge. QuickBooks never writes a price back, so that number stays yours to set on WooCommerce.

Does the tracking number go back to WooCommerce?

Supported shipment updates return to the original order when the connected fulfillment store supplies them. Supported tracking details can return to the originating WooCommerce order. QuickSync does not push carrier or tracking numbers to QuickBooks.

Do orders flow both ways with QuickBooks?

No. Eligible sales from WooCommerce sync into QuickBooks when it is your fulfillment store and order syncing is enabled on Pro or higher. Fully paid sales become Sales Receipts; unpaid or partially paid sales become Invoices. Sales orders are not imported back out of QuickBooks into your shops.

What happens if I refund a WooCommerce order?

When WooCommerce reports an actual restock, the inventory quantity can sync to the books. A refund alone does not restore stock. Handle invoice credits in QuickBooks separately.

Which plan do I need for WooCommerce and QuickBooks?

Lite supports inventory syncing for eligible items. Sales syncing into QuickBooks Online requires Pro or higher. Your QuickBooks Online plan must support inventory tracking for quantity sync. Start with a 14-day trial, with no credit card, and check our pricing page for current plans.
