Example: follow one Square sale

For shops that take money on a Square register and also sell online through WooCommerce. Square caps a SKU at 80 characters against WooCommerce’s 300, and it has no field for a tracking number, so posted orders keep their courier reference on the WooCommerce side.

What to know before you connect

Inventory limit

No tracking number back to Square

Square has no field for us to write a tracking number into, so shipping detail lives in QuickSync and in whichever shop the order came from. Counter sales rarely need it; posted ones are worth knowing about.

Manual control

Review export and draft settings for WooCommerce and Square

Connecting WooCommerce and Square imports their catalogues. A confirmed Sync Products export can create missing products. Ongoing product syncing follows your master store on Pro or higher. Use Create as drafts where supported when you want to review copies before publication.

Counter and website

One count between the till and the shop

WooCommerce holds the website, Square holds the room. Neither reads the other.

Square keeps its own catalogue for the register and WooCommerce keeps its own for the site, and neither has any idea what the other has sold. Left alone they separate quickly, and the moment you notice is usually the wrong one: someone buys online the last of something that just went through the till.

QuickSync holds one count between them and corrects each side from the other, so neither platform has to be the master. A counter sale lowers the website; a web order lowers what the register will let you sell. Both sides announce their changes to us immediately, so neither is waiting on a scheduled check.

Items pair up by SKU and Square is the tighter of the two at 80 characters against WooCommerce’s 300. That is roomy enough that most catalogues never hit it, but it is worth a glance at your longest SKUs before you connect, because anything over the limit gets truncated on the way to Square and then stops matching.

The limit to plan for

Square will not take a tracking number back

Fine for counter sales. Worth knowing if you also post from the same stock.

Square has no field for us to write a tracking number into, so when you ship an order that originated at the register, the tracking stays in QuickSync and on the WooCommerce order rather than appearing anywhere in Square. Most counter sales walk out of the shop and never need one, which is why this rarely bites.

It matters if you take orders at the counter for posting later, or if someone on your team works out of Square and expects to read tracking off the sale. WooCommerce orders take a tracking number normally, so the gap is only on the Square side.

Guide for running WooCommerce and Square together

Questions people ask about this pair

Does WooCommerce integrate with Square?

Yes, through QuickSync. Connect WooCommerce and Square, match products by SKU, and a sale on either side lowers the count on the other.

How do I sync inventory between WooCommerce and Square?

Neither platform can do it alone, so it takes something sitting between them. QuickSync pairs items up by SKU and keeps a single figure that both sides are corrected against, which means the till and the website stop disagreeing about what is left.

Does QuickSync send tracking numbers to Square?

Supported shipment updates return to the original order when the connected fulfillment store supplies them. Supported tracking details can return to the originating WooCommerce order. QuickSync does not push carrier or tracking numbers to Square.

How do I connect WooCommerce to Square?

You enter your shop address, log in to your WordPress admin when we send you there, and approve the API access request. WooCommerce hands the keys back to us. Nothing on your shop changes until you turn a sync on. You sign in to Square and approve QuickSync. It covers your catalogue, stock and orders across the locations you pick. Then match products by SKU, choose which shop holds the true count on day one and turn the sync on. Keep SKUs within 80 characters, Square’s limit.

Do I have to re-list my WooCommerce products on Square?

No. Existing WooCommerce and Square listings match by SKU. A separate Sync Products export can create missing products. Ongoing product updates require Pro or higher and a master store. Review the export scope and draft setting before confirming a write.

Can I charge a different price on Square?

Yes, on Ultra or higher. Set a price-modification rule for Square in its store settings. Ongoing price updates follow the product master and the selected rule, so WooCommerce and Square can use different prices.

Does the tracking number go back to both shops?

Supported shipment updates return to the original order when the connected fulfillment store supplies them. Supported tracking details can return to the originating WooCommerce order. QuickSync does not push carrier or tracking numbers to Square.

What happens if a buyer cancels or I refund them on WooCommerce or Square?

A refund alone does not restock an item. When the originating platform reports a stock increase, QuickSync propagates the updated quantity between WooCommerce and Square.

Which plan do I need for WooCommerce and Square?

For WooCommerce and Square, Lite starts at $19/month for two stores and 1,000 syncing items and includes inventory syncing. Ongoing product updates and order syncing require Pro or higher; price modification requires Ultra or higher. Choose a plan for both your features and catalogue size. Extra stores are billed at the selected plan rate; see Pricing for current limits.
