Square Lightspeed integration that keeps one stock count
For businesses running Square at one counter and Lightspeed at another. Lightspeed allows the shorter code at 64 characters, and it marks a sale fulfilled without keeping the tracking number, so shipped items read more fully in QuickSync than on either register. Both sides tell us the moment something sells, so the other is corrected in under a second.

How to connect Square and Lightspeed
Four steps and about ten minutes. The two connections are a login each; most of the time is us matching your catalogues, and nothing changes until you switch it on.
Connect Square
You sign in to Square and approve QuickSync. It covers your catalogue, stock and orders across the locations you pick.
Connect Lightspeed
You sign in to Lightspeed X-Series and approve QuickSync for the outlet you want connected.
Let it match your products
We line the two catalogues up by SKU, then by title, and hand you a short list of anything we could not match. You decide what happens to those.
Watch, then switch it on
Leave it watching for a few days and check the numbers agree. When you are happy, let it start making changes, one shop at a time.

Running Square and Lightspeed by hand
Nearly every problem selling on both Square and Lightspeed comes from each side keeping its own count. Sell the last one twice and you oversell somebody.
| Two shops, run by hand | Two shops, connected |
|---|---|
| The last one sells in both shops within the same hour | Whichever shop sells it, the other one drops to match |
| Typing the same stock numbers into Square and Lightspeed each morning | One count, sent to both, without anyone opening a spreadsheet |
| Changing a price means editing the same product twice | Change it once and each shop gets the price you set for it |
| Orders in two dashboards, matched up by hand at the end of the week | Every order already matched to the right product |
| A refund leaves your numbers wrong until someone notices | A refund puts the stock back and tells both shops |
| Guessing how stale each shop’s number is | A sale on either shop reaches the other in under a second |
One Lightspeed order, start to finish
Real timings, second by second.
Correcting Square takes under a second once we have the sale. The order is in your packing list with the Lightspeed order number on it.
The other direction is the same: a sale on Square reaches Lightspeed just as quickly, because Square pushes it to us the moment it happens too.
The limits: know them before you connect
Every Square Lightspeed integration has constraints. These are the ones that apply here.
Quick between Square and Lightspeed
Both Square and Lightspeed tell us the moment something sells, so a sale in one is reflected in the other in under a second. There is no polling gap on this pair.
No tracking number back to Square
Square has no field for us to write a tracking number into, so shipping detail lives in QuickSync and in whichever shop the order came from. Counter sales rarely need it; posted ones are worth knowing about.
Nothing publishes itself to Square or Lightspeed
Copying a listing from Square to Lightspeed (or the other way) always waits for you to look at it. Stock is the only thing that moves on its own, and only once you have turned it on.
Neither of these is a website
This is a counter-to-counter pair, and that changes what the connection is for.
Square and Lightspeed are both point-of-sale systems, so this pair is usually two counters rather than a counter and a website. A second location, a concession running a different till, a shop that kept Lightspeed while a newer site went to Square: all of them end up with two registers selling from stock that is really one pile. Neither system reads the other’s catalogue, and left alone the two counts separate within a weekend.
Both sides push their changes to us immediately, so neither register is waiting on a timer. That is the right behaviour for tills, where two people can ring up the last of something within the same minute and neither can see the other’s screen. QuickSync keeps a single figure that both registers are corrected against, so neither till has to be nominated as the master.
The one number to check before you connect is SKU length. Square stores 80 characters and Lightspeed takes 64, so 64 governs. Anything longer arrives at Lightspeed truncated and stops matching the item it came from, without an error to tell you. Sixty-four is generous enough that most catalogues never notice, which makes this a five-minute sort by SKU length rather than a piece of work.
Neither till will hold a tracking number
Two different limits that land in the same place, and worth knowing if you post anything.
Square has no field for a tracking number at all, so there is nowhere for us to write one. Lightspeed goes half way: when you ship an order that came from Lightspeed, we tell it the sale is fulfilled and it records exactly that, but it does not keep the carrier or the number against the sale. The sale stops looking outstanding; the detail that tells a customer where their parcel is lives elsewhere.
Elsewhere means QuickSync, where the tracking number stays visible. For two tills this rarely matters, because most sales walk out of the shop with the customer. It matters if you take orders at either counter for posting later, or if your process is for someone to open Lightspeed and read the tracking off the sale. That is the one place it will not be, and it is cheaper to know that before you build a process around it.

Questions people ask about this pair
How quickly does Lightspeed update after something sells on Square?
Under a second in normal conditions. Square tells us the moment the sale happens and we write the new count to Lightspeed straight away. The reverse is the same when Lightspeed sells. If either side is briefly unreachable we hold the update and keep trying rather than dropping it.
Can I sync inventory between Square and Lightspeed?
Yes, through a tool in the middle, since neither till reads the other’s catalogue. QuickSync matches items by SKU and keeps one count across both registers, and both platforms report their changes immediately rather than on a timer. Keep SKUs to 64 characters or fewer, which is the Lightspeed limit and the tighter of the two.
Does tracking sync between Square and Lightspeed?
No, and for two different reasons. Square has no field for a tracking number, so there is nowhere to write one. Lightspeed will record the sale as fulfilled but does not store the carrier or the number, so we mark it shipped and no further. The tracking number itself stays visible in QuickSync.
Do I have to re-list my Square products on Lightspeed?
No. We match your existing Square and Lightspeed listings by SKU first, then by title, and hand you a short list of whatever we could not match. You can also copy a listing from one side to the other if you want it in both places; that step always waits for you.
Can I charge a different price on Lightspeed?
Yes. Set a rule once for Lightspeed: a percentage, a fixed uplift, or a price you type yourself. We apply it whenever the price changes, and nothing forces Square and Lightspeed to the same number.
Does the tracking number go back to both shops?
Not to Square. Square has no way for us to send a tracking number back, so the shipping detail stays in QuickSync and in whichever shop the order came from. On Lightspeed we can mark the sale shipped, but the carrier and tracking number are not stored there.
What happens if a buyer cancels or I refund them on Square or Lightspeed?
The stock goes back. A cancellation or a refund puts the item back into your count and we send the corrected number to both Square and Lightspeed.
Which plan do I need for Square and Lightspeed?
Lite covers Square and Lightspeed. Lite is $19 a month for two shops and holds 1,000 items, with up to eight connected integrations. You would move up a plan for catalogue size, and your bill goes up by another $19 if you connect a third shop.
