What to know before you connect

Inventory limit

QuickBooks is your books, not a shop

QuickBooks Online must support inventory tracking for quantity sync on linked Inventory items. Eligible sales sync as Sales Receipts or Invoices on Pro or higher; sales orders are not imported back into your shops.

Automatic after setup

Choose your settings once. QuickSync handles the sync.

Turn on inventory syncing for linked Inventory items. Enable eligible sales syncing on Pro or higher to send paid sales as Sales Receipts and unpaid or partially paid sales as Invoices. QuickSync then syncs automatically; you do not retype each sale.

Connect Square and QuickBooks Online, choose QuickBooks as your fulfillment store, and enable order syncing on Pro or higher. QuickSync sends eligible sales automatically, with item lines and available customer details. Fully paid sales become Sales Receipts; unpaid or partially paid sales become Invoices. Existing products match by SKU.

Choose the Square locations you want to sync and map them in QuickSync. Inventory syncing and sales syncing are separate settings. Review your SKU matches and source stock before clicking Start Syncing.

QuickBooks is an accounting destination for synced sales. QuickSync does not import QuickBooks sales orders or invoices back into Square. Inventory quantities can sync for linked Inventory items; QuickBooks Online must support inventory tracking. Refunds do not automatically imply a stock restock.

Does the tracking number reach Square or QuickBooks?

Neither. Square does not accept tracking updates from QuickSync, and the synced accounting document has no shipment record. Tracking details for that order remain in QuickSync.

Do prices sync from Square to QuickBooks?

One way, yes. The price you set on Square is written to the matching item in QuickBooks, so the books read what you actually charge. QuickBooks never writes a price back, so that number stays yours to set on Square.

Does the tracking number go back to Square?

No. Square has no way for us to send a tracking number back, so the shipping detail stays in QuickSync and in whichever shop the order came from. QuickBooks holds the invoice rather than the buyer, so there is nobody there to notify either.

Do orders flow both ways with QuickBooks?

No. Eligible sales from Square sync into QuickBooks when it is your fulfillment store and order syncing is enabled on Pro or higher. Fully paid sales become Sales Receipts; unpaid or partially paid sales become Invoices. Sales orders are not imported back out of QuickBooks into your shops.

What happens if I refund a Square order?

When Square reports an actual restock, the inventory quantity can sync to the books. A refund alone does not restore stock. Handle invoice credits in QuickBooks separately.
