Follow one Lightspeed sale

For shops that take money on a Lightspeed register and also sell online through WooCommerce. Lightspeed marks a sale shipped without keeping the tracking number, so WooCommerce is where a customer-facing courier reference lives.

What to know before you connect

Inventory limit

Lightspeed marks it shipped, without the number

Lightspeed records a sale as fulfilled but does not keep a carrier or tracking number against it. We mark it shipped and the number stays visible in QuickSync.

Manual control

Listings do not publish to WooCommerce or Lightspeed on their own

Copying a listing from WooCommerce to Lightspeed (or the other way) always waits for you to look at it. Stock is the only thing that moves on its own, and only once you have turned it on.

The widest SKU gap

WooCommerce holds 300 characters, Lightspeed takes 64

The shorter number is the one your catalogue actually has to fit inside.

This is the widest SKU gap of any pair we publish. WooCommerce will store a code up to 300 characters and Lightspeed takes 64, so a SKU that WooCommerce accepts without complaint can be too long the moment it crosses. Anything over 64 arrives at Lightspeed shortened, and a shortened code no longer points at the product that produced it. You tend to meet that weeks later, as a count that has quietly stopped moving.

Sixty-four characters is generous enough that most catalogues never come close, so this is a five-minute check rather than a project. Order your products by SKU length, deal with the handful sitting at the top, and connect afterwards. That sequence costs a fraction of what reconciling two drifted counts costs, and it holds whichever tool you end up using, because the limit belongs to Lightspeed rather than to us.

Speed is not something you need to plan around here. Neither platform is on a timer: WooCommerce and Lightspeed each report a change at the point it happens, so a sale rung up at the counter is not queued behind a scheduled look before the website hears about it. Plenty of channels we support do have to be checked every couple of minutes. This one does not.

When you post it

Lightspeed records the sale as fulfilled and stops there

The tracking number has nowhere to sit on that side of the pair.

Ship an order that came from Lightspeed and we tell Lightspeed the sale is fulfilled, which is exactly what it records. What it will not keep is the carrier or the tracking number, because there is nowhere on the sale to put them. So the order stops looking outstanding, and the one detail a customer actually rings up about is not stored against it.

The number itself is not lost. It stays in QuickSync, and on the WooCommerce order when that is where the sale started, which covers the usual case of somebody emailing to ask where their parcel has got to. The gap only bites if your process is for a member of staff to open Lightspeed and read the tracking off the sale, because that is the one place it will not be.

Questions people ask about this pair

Does WooCommerce integrate with Lightspeed?

Yes, through QuickSync. Connect WooCommerce and Lightspeed, match products by SKU, and a sale on either side lowers the count on the other.

Can WooCommerce and Lightspeed share one inventory count?

Yes, with a tool between them. Neither reads the other’s catalogue, so QuickSync matches items by SKU and holds a single figure, correcting each platform from the other. What sells at the counter and what sells online are each passed to the other side automatically.

Why is my WooCommerce SKU not matching in Lightspeed?

Length is the usual reason. WooCommerce accepts up to 300 characters and Lightspeed only 64, so a longer SKU is truncated on the way across and no longer matches the item it came from. Nothing errors when this happens, so the count just stops moving. Check that your longest SKUs fit inside 64 characters.

How do I connect WooCommerce to Lightspeed?

You enter your shop address, log in to your WordPress admin when we send you there, and approve the API access request. WooCommerce hands the keys back to us. Nothing on your shop changes until you turn a sync on. You sign in to Lightspeed X-Series and approve QuickSync for the outlet you want connected. Then match products by SKU, choose which shop holds the true count on day one and turn the sync on. Keep SKUs within 64 characters, Lightspeed’s limit.

Do I have to re-list my WooCommerce products on Lightspeed?

No. We match your existing WooCommerce and Lightspeed listings by SKU, and hand you a short list of whatever we could not match. You can also copy a listing from one side to the other if you want it in both places; that step always waits for you.

Can I charge a different price on Lightspeed?

Yes. Set a rule once for Lightspeed: a percentage, a fixed uplift, or a price you type yourself. We apply it whenever the price changes, and nothing forces WooCommerce and Lightspeed to the same number.

Does the tracking number go back to both shops?

On Lightspeed we mark the sale shipped, but Lightspeed does not keep the carrier or tracking number, so that detail stays visible in QuickSync. The other side gets the full number when it accepts one.

What happens if a buyer cancels or I refund them on WooCommerce or Lightspeed?

A refund alone does not restock an item. When the originating platform reports a stock increase, QuickSync propagates the updated quantity between WooCommerce and Lightspeed.

Which plan do I need for WooCommerce and Lightspeed?

Lite covers WooCommerce and Lightspeed. Lite is $19 a month for two shops and holds 1,000 items, with up to eight connected integrations. You would move up a plan for catalogue size, and your bill goes up by another $19 if you connect a third shop.
