Running Clover alone versus with QuickBooks
Every Clover sale that is not written into QuickBooks is a stock figure and an invoice someone has to type twice — and a wrong stock figure is how you oversell. Connecting them removes that second pass.
| Two shops, run by hand | Two shops, connected |
|---|---|
| The last one sells in both shops within the same hour | Whichever shop sells it, the other one drops to match |
| Typing the same stock numbers into Clover and QuickBooks each morning | One count, sent to both, without anyone opening a spreadsheet |
| Changing a price means editing the same product twice | Change it once and each shop gets the price you set for it |
| Orders in two dashboards, matched up by hand at the end of the week | Every order already matched to the right product |
| A refund leaves your numbers wrong until someone notices | A refund puts the stock back and tells both shops |
| Guessing how stale each shop’s number is | A sale reaches QuickBooks as an invoice in about a second |
One Clover order, start to finish
Real timings, second by second.
Correcting QuickBooks takes under a second once we have the sale. The order is in your packing list with the Clover order number on it.
There is no other direction: nothing is ever bought in QuickBooks, so it only ever receives.
Connecting Clover and QuickBooks takes about ten minutes
Most of that is us matching your catalogues. The two connections themselves are a login each.
Connect Clover
You install QuickSync from the Clover app market on the merchant account that owns the register.
Connect QuickBooks
You sign in to Intuit and pick the company file. QuickSync writes to that company and nothing else.
Let it match your products
We line the two catalogues up by SKU, then by title, and hand you a short list of anything we could not match. You decide what happens to those.
Watch, then switch it on
Leave it watching for a few days and check the numbers agree. When you are happy, let it start making changes, one shop at a time.
The limits: know them before you connect
Every Clover QuickBooks integration has constraints. These are the ones that apply here.
One direction only
A Clover sale becomes an invoice in QuickBooks in about a second. Nothing is ever bought in QuickBooks, so there is no second direction to wait on.
QuickBooks is your books, not a shop
Quantities in QuickBooks are a bookkeeping figure no shopper ever sees, and orders go in as invoices without coming back out. That is by design, not a gap.
Stock moves when you say so
QuickBooks is not a storefront, so there is no listing to publish. Stock and invoices move once you turn sync on; nothing invents a product page on Clover.
What lands in QuickBooks
A Clover sale writes two things, and neither of them is a listing.
When something sells on the register, we write an invoice into the company file you picked when you connected, and we set the quantity on hand for that item. Those are two writes to two different places, and it’s worth knowing which one you’re reading when a figure surprises you.
The quantity is a bookkeeping figure. No shopper ever sees it, because QuickBooks isn’t a storefront: there’s no listing to create, no photo to upload and no variant to map. When you’re reconciling, Clover holds what’s on the shelf and QuickBooks holds what’s on the books, and we correct the second from the first.
Nothing travels the other way. QuickBooks doesn’t hand orders back out, so no invoice ever becomes a Clover sale. That’s how the accounting side is built rather than something we’re waiting to finish.
How we hear about a sale
Clover tells us. We don’t ask it on a timer.
Clover sends one webhook for everything it does and tags each event with a prefix, so a stock edit and an order arrive down the same pipe and get sorted on our side. A counter sale reaches us as the register finishes it, not at the top of the next scheduled check, because there’s no interval here to sit behind.
That shows up on the awkward day rather than the ordinary one. On a Saturday where the same item sells twice inside a minute, the second sale isn’t queued behind a timer.
One limit to plan for before you connect: neither side accepts a tracking number back. Clover has no field for one, and QuickBooks has no buyer to notify. If you also ship from this stock, the tracking stays in QuickSync.
Two shops fits the smallest plan
Your catalogue size picks the plan, and your plan price covers two connected shops with every shop after that adding it again. Three shops on Lite is $38 a month.
Lite
$19/mo for two shops1,000 items and up to eight connected integrations, with stock matched on both sides automatically. Enough for Clover and QuickBooks on their own, at $19 a month for the two.
Pro
$29/mo for two shops2,500 items and up to eight connected integrations. Listings and orders sync here as well as stock. Most sellers running two shops properly end up here.
Ultra at $69 and Ultra+ at $99 add larger catalogues, price rules and setup help. Every plan starts with a 14-day free trial and no card.
Questions people ask about this pair
How quickly does QuickBooks update after something sells on Clover?
Under a second in normal conditions. Clover tells us the moment the sale happens, and the invoice and the stock figure are written to QuickBooks straight away. Nothing is ever bought in QuickBooks itself, so there is no sale there for us to go looking for. If QuickBooks is briefly unreachable we hold the update and keep trying rather than dropping it.
Do my Clover products show up as listings in QuickBooks?
No. QuickBooks is your books, not a storefront, so there is nothing to list. We write the item and the quantity as a bookkeeping figure, and orders arrive as invoices.
Do prices sync from Clover to QuickBooks?
One way, yes. The price you set on Clover is written to the matching item in QuickBooks, so the books read what you actually charge. QuickBooks never writes a price back, so that number stays yours to set on Clover.
Does the tracking number go back to Clover?
No. Clover has no way for us to send a tracking number back. Counter sales rarely need one, but it is worth knowing if you also ship from the same stock. QuickBooks holds the invoice rather than the buyer, so there is nobody there to notify either.
Do orders flow both ways with QuickBooks?
No. A Clover sale becomes an invoice in QuickBooks. Nothing is imported back out of QuickBooks into your shops; it is a one-way accounting sink by design.
What happens if I refund a Clover order?
The stock goes back on Clover and the quantity on the books updates with it. Handle the invoice credit in QuickBooks the way you normally would; we keep the quantity right, not your accountant’s credit-note workflow.
Which plan do I need for Clover and QuickBooks?
Lite covers Clover and QuickBooks. Lite is $19 a month for two shops and holds 1,000 items, with up to eight connected integrations. You would move up a plan for catalogue size, and your bill goes up by another $19 if you connect a third shop.
