What to know before you connect

Inventory limit

QuickBooks is your books, not a shop

QuickBooks Online must support inventory tracking for quantity sync on linked Inventory items. Eligible sales sync as Sales Receipts or Invoices on Pro or higher; sales orders are not imported back into your shops.

Automatic after setup

Choose your settings once. QuickSync handles the sync.

Turn on inventory syncing for linked Inventory items. Enable eligible sales syncing on Pro or higher to send paid sales as Sales Receipts and unpaid or partially paid sales as Invoices. QuickSync then syncs automatically; you do not retype each sale.

What a register sale writes

One sales document per sale, and a count that follows the shelf.

When the till rings, we write the sale into QuickBooks as its own sales document, a line per item with the number sold and the price paid, tied to whichever QuickBooks item shares the SKU. The quantity on hand on that item moves with it, so the books’ count follows what actually sold instead of being typed in at quarter-end.

The quantity in QuickBooks is a bookkeeping figure no shopper ever sees. When you’re reconciling, Lightspeed holds what’s on the shelf and QuickBooks holds what’s on the books, and we correct the second from the first.

QuickBooks is the books, not a shop, and the connection respects that.

Orders go into QuickBooks and never come back out, by design: QuickBooks doesn’t hand sales documents back as register sales, and there are no listings, photos or variants to manage on that side. That’s the shape of an accounting sink, not a gap.

QuickSync writes to QuickBooks Online: you sign in to Intuit, pick the company file, and we write to that company and nothing else. A ledger kept in QuickBooks Desktop connects a different way entirely.

How do I connect Lightspeed to QuickBooks?

Do my Lightspeed products show up as listings in QuickBooks?

No. QuickBooks Online is an accounting system, not a storefront. QuickSync links items by SKU and can sync quantities for eligible Inventory items. Sales syncing on Pro or higher sends fully paid sales as Sales Receipts and unpaid or partially paid sales as Invoices.

Do prices sync from Lightspeed to QuickBooks?

One way, yes. The price you set on Lightspeed is written to the matching item in QuickBooks, so the books read what you actually charge. QuickBooks never writes a price back, so that number stays yours to set on Lightspeed.

Does the tracking number go back to Lightspeed?

Supported shipment updates return to the original order when the connected fulfillment store supplies them. QuickSync can mark the Lightspeed sale shipped, but does not store the carrier or tracking number there. QuickSync does not push carrier or tracking numbers to QuickBooks.

Do orders flow both ways with QuickBooks?

No. Eligible sales from Lightspeed sync into QuickBooks when it is your fulfillment store and order syncing is enabled on Pro or higher. Fully paid sales become Sales Receipts; unpaid or partially paid sales become Invoices. Sales orders are not imported back out of QuickBooks into your shops.

What happens if I refund a Lightspeed order?

When Lightspeed reports an actual restock, the inventory quantity can sync to the books. A refund alone does not restore stock. Handle invoice credits in QuickBooks separately.
