You sign in to Lightspeed X-Series and approve QuickSync for the outlet you want connected.
Connect QuickBooks
You sign in to Intuit and pick the company file. QuickSync writes to that company and nothing else.

We line the two catalogues up by SKU, then by title, and hand you a short list of anything we could not match. You decide what happens to those.

Quantities in QuickBooks are a bookkeeping figure no shopper ever sees, and orders go in as invoices without coming back out. That is by design, not a gap.
Stock moves when you say so
QuickBooks is not a storefront, so there is no listing to publish. Stock and invoices move once you turn sync on; nothing invents a product page on Lightspeed.
What a register sale writes
One invoice per sale, and a count that follows the shelf.
When the till rings, we write the sale into QuickBooks as its own invoice, a line per item with the number sold and the price paid, tied to whichever QuickBooks item shares the SKU. The quantity on hand on that item moves with it, so the books’ count follows what actually sold instead of being typed in at quarter-end.
The quantity in QuickBooks is a bookkeeping figure no shopper ever sees. When you’re reconciling, Lightspeed holds what’s on the shelf and QuickBooks holds what’s on the books, and we correct the second from the first.
Nothing comes back out
QuickBooks is the books, not a shop, and the connection respects that.
Orders go into QuickBooks and never come back out, by design: QuickBooks doesn’t hand invoices back as register sales, and there are no listings, photos or variants to manage on that side. That’s the shape of an accounting sink, not a gap.
QuickSync writes to QuickBooks Online: you sign in to Intuit, pick the company file, and we write to that company and nothing else. A ledger kept in QuickBooks Desktop connects a different way entirely.

How quickly does QuickBooks update after something sells on Lightspeed?
Under a second in normal conditions. Lightspeed tells us the moment the sale happens, and the invoice and the stock figure are written to QuickBooks straight away. Nothing is ever bought in QuickBooks itself, so there is no sale there for us to go looking for. If QuickBooks is briefly unreachable we hold the update and keep trying rather than dropping it.
Does Lightspeed integrate with QuickBooks?
Through an app rather than a built-in link. QuickSync writes each Lightspeed sale into QuickBooks Online as its own invoice and sets the quantity on hand on the matching item, so the books follow the shelf without anyone retyping the day’s sales.
Will invoices or stock ever flow back from QuickBooks to the register?
No. QuickBooks takes invoices in and doesn’t send orders back out, by design. Stock corrections flow from the register and QuickSync into the books; the register’s count is never overwritten from the ledger.
Do my Lightspeed products show up as listings in QuickBooks?
No. QuickBooks is your books, not a storefront, so there is nothing to list. We write the item and the quantity as a bookkeeping figure, and orders arrive as invoices.
Do prices sync from Lightspeed to QuickBooks?
One way, yes. The price you set on Lightspeed is written to the matching item in QuickBooks, so the books read what you actually charge. QuickBooks never writes a price back, so that number stays yours to set on Lightspeed.
Does the tracking number go back to Lightspeed?
On Lightspeed we mark the sale shipped, but Lightspeed does not keep the carrier or tracking number, so that detail stays visible in QuickSync. QuickBooks holds the invoice rather than the buyer, so there is nobody there to notify.
Do orders flow both ways with QuickBooks?
No. A Lightspeed sale becomes an invoice in QuickBooks. Nothing is imported back out of QuickBooks into your shops; it is a one-way accounting sink by design.
What happens if I refund a Lightspeed order?
The stock goes back on Lightspeed and the quantity on the books updates with it. Handle the invoice credit in QuickBooks the way you normally would; we keep the quantity right, not your accountant’s credit-note workflow.
