What to know before you connect

Inventory limit

QuickBooks is your books, not a shop

QuickBooks Online must support inventory tracking for quantity sync on linked Inventory items. Eligible sales sync as Sales Receipts or Invoices on Pro or higher; sales orders are not imported back into your shops.

Automatic after setup

Choose your settings once. QuickSync handles the sync.

Turn on inventory syncing for linked Inventory items. Enable eligible sales syncing on Pro or higher to send paid sales as Sales Receipts and unpaid or partially paid sales as Invoices. QuickSync then syncs automatically; you do not retype each sale.

Two speeds

Orders arrive at once, stock corrections wait

Squarespace announces a sale straight away. A quantity you edit yourself waits for the next check.

Squarespace splits how it reports, and the split shows up in your books. An order is announced the moment it is placed, so the sales document for it is written promptly. A quantity you change by hand inside Squarespace is not announced at all, so finding it falls to a check that comes round every couple of minutes. Same shop, two speeds, and it is the second one you plan around.

The bookkeeping consequence is worth spelling out. Revenue in the company file keeps pace with your Squarespace sales, because those come to us as they happen. The quantity on hand is the figure that can trail: write off a damaged item or finish a stocktake in Squarespace, and the books hold the old number for a minute or two. If you run a stock report the instant you finish counting, run it again after the next check.

The rest of what we write is standard across every shop connected to a company file: a sales document with a line per product matched on SKU, further lines for whatever the sale added on top, and the item quantity kept in step. Tax needs one caveat. Outside Canada we send the lines non-taxable, so QuickBooks does not levy it a second time on an amount Squarespace has already taken, while Canadian files use the code you set up. Payouts and card fees are not ours to post.

Limits to plan for

The SKU has to fit inside sixty characters

Squarespace is the tighter side, and matching is what the whole connection rests on.

Items pair on their SKU, so the shorter allowance is the one that governs. QuickBooks will store 100 characters; Squarespace stops at 60. A longer code reaches Squarespace trimmed to fit, and a trimmed code no longer names the product it came from. Nothing goes red when this happens, which is why it usually turns up weeks afterwards as a count that has quietly stopped moving. Sort by SKU length before you connect, not after.

Two more things belong here. Orders travel inwards only: QuickBooks accepts sales documents and hands nothing back, so nothing you do in the company file will produce a Squarespace order or a Squarespace product page. And there is nowhere in QuickBooks to record a tracking number, so anything you generate for a parcel stays in QuickSync. Neither is a gap we are working on; both are how the accounting side is built.

When Squarespace reports an actual restock, the inventory quantity can sync to the books. A refund alone does not restore stock. Handle invoice credits in QuickBooks separately.
