Squarespace Etsy integration that keeps one stock count

Squarespace can import an Etsy catalogue, but only once and only in that direction, and Squarespace states plainly that the import does not keep inventories in step afterwards. Holding one stock count across a Squarespace shop and an Etsy shop that are both open is a separate job, and it takes an app between them. For Squarespace shops that also sell on Etsy. Etsy caps a SKU at 32 characters and allows two option types per listing, so a product that is size, colour and material on Squarespace has to fold down to two before Etsy will take it. Squarespace tells us the moment something sells, so Etsy is corrected in under a second. Etsy does not announce a sale, so we check it every five minutes for new orders instead.

How to connect

How to connect Squarespace and Etsy

Four steps and about ten minutes. The two connections are a login each; most of the time is us matching your catalogues, and nothing changes until you switch it on.

Connect Squarespace

You generate an API key in Squarespace and paste it into QuickSync.

~1 minute

Connect Etsy

You approve QuickSync from your Etsy account for the shop you want connected.

~1 minute

Let it match your products

We line the two catalogues up by SKU, then by title, and hand you a short list of anything we could not match. You decide what happens to those.

~5 minutes

Watch, then switch it on

Leave it watching for a few days and check the numbers agree. When you are happy, let it start making changes, one shop at a time.

The one asymmetry worth knowing. Squarespace tells us the second something sells. Etsy has no equivalent, so we go and look every five minutes for orders, every two for stock instead. Sending to Etsy is instant either way. It is only finding out about its own sales that waits for the next check, and safety stock covers that window.
What changes

Running Squarespace and Etsy by hand

Nearly every problem selling on both Squarespace and Etsy comes from each side keeping its own count. Sell the last one twice and you oversell somebody.

Correcting Squarespace takes under a second once we have the sale. The order is in your packing list with the Etsy order number on it, and a tracking number added later goes back to Etsy on its own.

The other direction is faster: a sale on Squarespace reaches Etsy in under a second, because Squarespace pushes it to us the moment it happens.

Speed and limits

The limits: know them before you connect

Every Squarespace Etsy integration has constraints. These are the ones that apply here.

Etsy waits; Squarespace does not

A Squarespace sale reaches Etsy in under a second. An Etsy sale reaches Squarespace on our next look, which is within five minutes. Hold back a little safety stock and that window stops mattering.

Two option types on Etsy

Etsy allows two kinds of option per listing, so a product that is size, colour and material elsewhere has to fold down to two. We show you which products are affected before anything is published.

Nothing publishes itself to Squarespace or Etsy

Copying a listing from Squarespace to Etsy (or the other way) always waits for you to look at it. Stock is the only thing that moves on its own, and only once you have turned it on.

Timing on both sides

Both sides get checked rather than listened to

Nothing here announces a stock change, so the timers are worth understanding.

Etsy will not report a sale as it happens, so it gets polled: quantities at two-minute intervals, orders at five. Squarespace is halfway to live. It announces an order immediately, but a quantity you edit inside Squarespace is not announced either, so that gets looked for every couple of minutes as well. Between the two, most of what moves on this pair reaches us on a check rather than the instant it happens.

In practice that means one thing worth planning for. If the same item is close to selling out on both sides at once, there is a window of a couple of minutes in which each shop still believes it has one. Safety stock on your fastest lines closes it. On a catalogue that turns over slowly, you will never notice the timers are there at all.

Orders are the exception worth knowing about. A Squarespace sale reaches us as soon as it is placed, so that side is quick regardless of the stock timer. Etsy orders come in on the five-minute check. If you batch your picking anyway, neither figure changes how your day runs; the timers only matter when you are down to the last one or two.

Etsy’s rules

Thirty-two characters, two options, no duplicates

Three Etsy constraints do most of the damage on this pair, and all three are checkable in advance.

Squarespace stores 60 characters of SKU and Etsy takes 32, so 32 is the ceiling for both ends of this connection. Overshoot it and Etsy receives a shortened code that matches nothing, with no error to tell you so. Sort the catalogue by SKU length and read the top of the list. Ten minutes now against a reconciliation later is the trade you are making, and it is not a close one.

Etsy’s second rule caps a listing at two option types. A product that varies by size, colour and material on your Squarespace site has to fold to two here, most often by merging two of them into a single compound option. Settle which pair survives before you connect, because reworking options on listings that are already selling is the costlier order to do it in.

Third, Etsy will not sync repeated codes. Where one SKU turns up on two listings in the same shop, the flag reads ‘Multiple same SKU’ and both drop out until each has its own. Test listings left up, and last season’s version sitting beside this season’s, are the usual sources. None of the three rules is ours, but all three decide whether this pair behaves.

Two different jobs

Importing your Etsy catalogue is not syncing it

Squarespace will pull your Etsy products in. Its own documentation says it stops there.

Squarespace has a built-in Etsy import: Products and Services, then Products, then Import, then Etsy. It brings across up to 500 products, and it takes the whole shop rather than a selection you choose. It is genuinely useful, it costs nothing beyond the Commerce plan you are already paying for, and if what you want is to move off Etsy onto a Squarespace shop, that is the whole answer and this page has nothing to add.

What it does not do is keep the two level. Squarespace says as much in its own words: the import is one-time and will not continually sync inventories, so a quantity that changes on either side afterwards stays on that side. It also runs one way only. Nothing you do in Squarespace travels back to Etsy, which starts to matter the moment both shops are open and selling the same stock.

Two details catch people out on the way through, and both are cheaper to fix beforehand. If your Etsy shop currency and your Squarespace store currency do not match, the products arrive priced at zero, so set the currency first. And turn Etsy vacation mode off before you start, because with it on the import can pick up inactive listings instead of the ones you are actually selling.

FAQ

Questions people ask about this pair

How quickly does Squarespace update after something sells on Etsy?

Within five minutes. Etsy has no way of telling us the moment a sale happens, so we check it on a short timer instead. Once we have the sale, correcting Squarespace takes under a second. The other direction is much quicker: Squarespace tells us straight away. If either shop has an outage, we hold the update and retry until it goes through.

Does Squarespace integrate with Etsy?

Yes, in one specific sense: Squarespace can import an Etsy catalogue into a Squarespace Commerce store, up to 500 products at a time. What the import does not do is keep the two shops level afterwards, and Squarespace states that it is one-time and does not continually sync inventories. If both shops stay open and sell the same stock, holding one count across them takes a connector such as QuickSync, which pairs items on their SKU.

Can I import my Etsy products into Squarespace?

Yes. Open Products and Services, click Products, then Import, and choose Etsy. The cap is 500 products and it brings your whole Etsy shop across rather than a selection. Two things are worth setting first: match your Etsy and Squarespace currencies, because a mismatch imports every price as zero, and switch Etsy vacation mode off, or inactive listings can come through in place of the ones you actually sell.

Does importing from Etsy keep my Squarespace stock updated?

No. Squarespace describes the import as one-time and says it will not continually sync inventories, so once it finishes each shop counts on its own and a sale on one leaves the other untouched. That gap is what QuickSync fills: items are paired on their SKU and whichever shop did not make the sale gets corrected. Etsy has to be polled rather than listened to, so the correction arrives within a couple of minutes rather than instantly.

How do I sync inventory between Squarespace and Etsy?

With a tool between them, because neither platform reads the other’s catalogue. QuickSync pairs items on their SKU and holds a single count for both. Etsy stops a SKU at 32 characters, so that is the length to build to, and no two listings in one Etsy shop may carry the same code.

How quickly does stock update between Squarespace and Etsy?

Expect a couple of minutes, because stock is checked on a timer on both sides rather than announced. Etsy stock is looked at every two minutes and Etsy orders every five. A Squarespace order reaches us straight away, but a quantity you change by hand in Squarespace is picked up on the next check.

Do I have to re-list my Squarespace products on Etsy?

No. We match your existing listings by SKU first, then by title, and hand you whatever we could not match. If you do copy a listing across, watch Etsy: Etsy allows two kinds of option per listing, so a product that is size, colour and material elsewhere has to fold down to two. We show you which products are affected before anything is published.

Can I charge a different price on Etsy?

Yes. Set a rule once for Etsy: a percentage, a fixed uplift, or a price you type yourself. We apply it whenever the price changes, and nothing forces Squarespace and Etsy to the same number.

Does the tracking number go back to both shops?

Yes. When you add a tracking number to an order, we send it back to whichever of Squarespace or Etsy the order came from, and the buyer gets the shop’s normal notification.

Can I create an order on Etsy from a sale on Squarespace?

No. Squarespace and Etsy hand orders out and do not accept orders created elsewhere. We pull both into one packing list so you still work from one place; each order stays on the channel it came from.

What happens if a buyer cancels or I refund them on Squarespace or Etsy?

The stock goes back. A cancellation or a refund puts the item back into your count and we send the corrected number to both Squarespace and Etsy.

Which plan do I need for Squarespace and Etsy?

Lite covers Squarespace and Etsy. Lite is $19 a month for two shops and holds 1,000 items, with up to eight connected integrations. You would move up a plan for catalogue size, and your bill goes up by another $19 if you connect a third shop.
