Make Clover your packing store, and we create each new order from your other stores in Clover, with its items, customer, charges and a payment record. Clover and Clover LA can do this on Pro and above. Clover EU can’t take orders in.
Clover sends nothing back. It can’t pass on tracking or a shipped status. When you ship an online order, mark it shipped in the store it came from too.
Before you start
- Clover or Clover LA. Clover EU shows as Not supported in the store menu.
- Pro or above. Order syncing needs it.
- An order type. Add one named QuickSync in Clover first, or orders can stop with No Order Type Found. Set up the order type shows where.
- One packing store. Every routed order goes to one store, so Clover replaces any packing store you had.
Turn it on
- In Clover, add an order type named QuickSync.
- In QuickSync, open Orders and click the Order route card. Actions, then Order route, opens the same window.
- In Order routing, open the menu under Fulfillment store and pick your Clover store. While order syncing is off, the window’s title is Order syncing, and the menu sits under Choose fulfillment store.
- Click Save route, or Start syncing if order syncing was off.
Picking a Clover store shows Finish setup in Clover, a reminder to set the order type. Clover LA stores don’t get the reminder, but they need the order type too.
Only orders placed after you save go to Clover. Orders already copied elsewhere stay there. An older order shows Older Order Not Synced, with an Enable older orders & sync button. To send a batch, use Actions, then Sync past orders, with Backdated orders on.
What the Clover order holds
- Title: the original order number and the platform it came from, such as #1001 (Shopify).
- Source: a label with the selling store’s name and platform.
- Note: the customer’s name, email and phone, then any order notes.
- Customer: a Clover customer with their name, email, phone and address. We create it with their first order and reuse it after that.
- Items: one line per unit, so an order for 3 totes has 3 lines. A line links to your Clover item when exactly one item has its SKU. Otherwise we add it by name and price.
- Charges: each gets its own line, named Shipping Charges, Tip, Service Charge, Additional Fees or Duties.
- Discount: one discount, named after the original, or Custom discount if it had no name.
- Tax: part of the payment, not a line of its own.
We convert every amount to your Clover store’s currency, whether or not currency conversion is on.
Payments
We record each order’s payment under a tender called External Payment, and we add that tender to Clover if it’s missing. The amount is the order total with tax, less any discount. It makes the order read as paid. It doesn’t charge anyone. It isn’t linked to the buyer’s card either.
Does Clover already record these payments another way? Then turn on Skip external payments. It’s under Settings, Stores: click Manage on the Clover card, then Review settings. We’ll create each order without a payment from then on.
After the order arrives
- Archived in Shopify. When you archive the original Shopify order, we close its Clover copy.
- Cancelled in Shopify. We add “(Cancelled)” to the Clover order’s title and remove its items. On Clover LA, we keep a paid copy as it is and flag the order.
- Cancelled anywhere else. We mark the order cancelled in QuickSync, but the Clover copy stays. Cancel it in Clover yourself, before anyone packs it.
- Refunded. Refunds stay in the store where you make them. We don’t copy them to Clover.
- Shipped. Clover can’t send tracking or a shipped status back. Mark the order shipped in the store it came from.
Clover’s own sales stay where they are. While Clover is your packing store, we don’t route its orders anywhere, and they show as Order from Receiving Store. Cancellations and refunds has the rules for every store.
Clover LA differences
- We take an order only when its payment reads paid, unpaid, authorized or voided. A part-paid or refunded order stops with Source Payment Needs Review, so contact support.
- We add the External Payment only once the buyer has paid for the original order. If they pay later, we add it then.
- We won’t cancel a paid copy. It keeps its items and payment, and the order shows Source Payment Needs Review.
- An order can have up to 3,000 lines, and that’s one line per unit.
When an order fails
Open the order on the Orders page. Its status names the problem.
| Message | What to do |
|---|---|
| No Order Type Found | Add a QuickSync order type in Clover, then click Retry order sync. |
| Couldn’t Read Order Setup from Clover | Check that the Clover card under Settings, Stores doesn’t say Needs attention, then retry. |
| Payment Record Not Confirmed | The order is in Clover, but its payment didn’t save. Click Try again. We check for an existing payment before adding one. |
| Clover Order Needs Review | Click Try again. If the message stays, contact support rather than making the order again. |
| Couldn’t Cancel Order in Clover | Click Try again, or cancel the order in Clover. |
| Couldn’t Complete Order in Clover | Click Try again, or complete the order in Clover. |
| Older Order Not Synced | Click Enable older orders & sync. |
Common questions
Can Clover be my fulfillment store?
Yes, if it’s Clover or Clover LA and you’re on Pro or above. Clover EU can’t take orders in. Add a QuickSync order type in Clover first, then pick Clover under Fulfillment store in the Order routing window on the Orders page. We create each new online order in Clover. Clover never sends tracking or a shipped status back, so mark orders shipped in the store they came from.
Why does my Clover order show External Payment?
That’s the payment record we add so the order reads as paid in Clover. The buyer already paid in the store they ordered from, and External Payment doesn’t charge anyone or link to their card. We create the tender if your Clover account doesn’t have it. If Clover already records payments for these orders, turn on Skip external payments in the Clover store’s Review settings, and we’ll leave the payment out.
What happens in Clover when I cancel an order?
If you cancel it in Shopify, we add “(Cancelled)” to the Clover order’s title and remove its items. The order itself stays in Clover. Cancellations in other stores don’t reach the Clover copy, so cancel it in Clover yourself. Refunds aren’t copied at all. On Clover LA, we keep a paid copy as it is and flag it for review.
Why didn’t my online order go to Clover?
Open it on the Orders page, where its status names the reason. It could be a missing QuickSync order type in Clover, an order placed before you saved Clover as the packing store, or a Clover connection that says Needs attention. Fix the cause, then retry the order. If several orders failed the same way, the QuickFix button on the Needs attention card retries them together.
