QuickBooks integration FAQs

This page provides QuickBooks Integration FAQs, answering common questions about using QuickSync with QuickBooks, including how product visibility is mapped and how orders are recorded and marked as paid.

If you are syncing product data or financial records between your store and QuickBooks, the information below explains how QuickSync manages these processes.

Product Integration #

Q1. How are product visibilities mapped between QuickSync and QuickBooks?

QuickSync automatically maps product visibility statuses from your store to QuickBooks to ensure accurate product availability and accounting records.

The mapping works as follows:

QuickSync StatusQuickBooks Status
ActiveActive
DraftInactive
ArchivedInactive

Products that are not active in QuickSync will be marked as inactive in QuickBooks, preventing them from being used in new transactions while keeping historical records intact.

Order Sync #

Q2. How does QuickSync mark an order as paid in QuickBooks?

QuickSync records orders in QuickBooks depending on how the transaction is created.

If the order is created as an Invoice #

QuickSync will:

  1. Create the Invoice in QuickBooks
  2. Automatically create a Payment for the full invoice amount

This ensures the invoice is recorded as fully paid in QuickBooks.

If the order is created as a Sales Receipt #

A Sales Receipt in QuickBooks is recorded as paid at the time of creation. Because of this, QuickSync does not need to create a separate payment entry.

Both methods ensure that orders synced to QuickBooks are accurately recorded as paid transactions.
